SpliceBio is a genetic medicines company (biotech) harnessing its proprietary Protein Splicing platform to develop the next generation of gene therapies. Our mission is to develop novel genetic medicines to treat patients suffering from uncurable diseases by delivering any genes using Protein Splicing. Our platform is based on technology developed in the Muir Lab at Princeton University after more than 20 years of pioneering intein and protein engineering research. The company is based in Barcelona, Spain and evolves at an international level.
SCOPE
The Executive Assistant is a pivotal part of the executive team, providing high-level administrative support to ensure smooth day-to-day operations. This role involves managing executive calendars, organizing meetings, and acting as the primary point of contact between executives and stakeholders. Additionally, the Executive Assistant oversees office operations, supports HR tasks, and assists in the planning and execution of company events.
KEY RESPONSIBILITIES
Executive & Team Support:
- Provide comprehensive administrative support to the executive team, including managing calendars, making travel arrangements, and handling expense reporting.
- Organize the agendas of C-level executives by prioritizing inquiries, troubleshooting conflicts, and making recommendations to ensure smooth daily engagements.
- Coordinate and schedule Board of Directors meetings, conferences, and executive appointments across multiple time zones.
- Serve as the primary point of contact between executives and internal/external stakeholders, managing correspondence and inquiries professionally.
- Prepare and distribute memos, presentations, and reports as required.
- Draft briefing materials and agendas for key meetings, ensuring all participants are properly prepared.
- Draft and send emails, ensuring appropriate tone, structure, and protocol depending on the recipient (e.g., board members, investors, internal leadership, clients...)
- Anticipate the needs of the executive team and proactively resolve issues before they escalate.
Office & Facility Management:
- Organize and maintain office operations and procedures to ensure efficiency and compliance with company policies.
- Assist in planning and executing company events, such as conferences, seminars, retreats, and employee gatherings.
- Continuously seek opportunities to improve office processes and implement best practices.
- Maintain a professional, welcoming environment for internal and external visitors, especially executive guests.
HR Support:
- Assist the HR Manager in HR administration tasks, including interview coordination for leadership positions, new hire onboarding, and employee records management.
- Coordinate with external vendors and service providers for HR-related needs.
QUALIFICATIONS
- Education: Bachelor's degree in business administration, Communications, or a related field is preferred.
- Experience: 3+ years of experience in an Executive Assistant or administrative support role, preferably in a corporate or fast-paced environment.
- IT skills: proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with management tools and systems.
- Language: Business proficiency in English and Spanish (verbal and written).
